What is Personal Information and why do we collect it?
Personal Information is information or an opinion that identifies an individual and/or entities. Examples of Personal Information which we collect could include business information,financial details, names, addresses, email addresses, contact information, birth datesand any other information which may be necessary based on your engagement with us.
This Personal Information is obtained in many ways including but not limited to interviews, employment, credit application forms, contractual agreements, correspondence, by telephone and facsimile, by email, via our website www.flo-maxpumps.com.au, from your website, from other publicly available sources, from cookies and from third parties. We don’t guarantee website links or policy of authorised third parties.
We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.
When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it. You may refer to the section titled ‘Website’.
You have no obligation to provide us with any Personal Information, however, your refusal to provide us with Personal Information reasonably required by us, or if you provide us with erroneous personal information, then we may be unable to provide goods or services to you.
Sensitive Information
Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
Due to the nature of the goods and services we provide, we are unlikely to obtain any sensitive information from you. In the event that we do, sensitive information will be used by us only:
- For the primary purpose for which it was obtained
- For a secondary purpose that is directly related to the primary purpose
- With your consent; or where required or authorised by law.
Third Parties
Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.
In the process of engaging in business with you, we may also collect your Personal Information from third parties in order to determine if you meet our requirements for a credit account. We may do this via third party credit reporting or by seeking information from trade references you have provided.
Website
The following information is current as of the date of the policy listed on our website. Where a service or software version is referred to in this section and it has been superseded by a subsequent version of that service or software, unless otherwise stated, you may presume that the prior version of the service or software has been succeeded by the updated or successor version of that service or software.
IP Data
When you submit one of our Contact Forms, we record your IP address alongside your form entries. This information is stored in our website database to help detect and prevent spam submissions and to assist with any legitimate security or legal inquiries.
Computer Location Data
We do not collect or store precise GPS or device-level location data. Any geographic information (such as city or region) that appears in our reporting is derived solely from the visitor’s IP address and is handled in aggregate via Google Analytics 4. We do not use third-party plugins or APIs to pinpoint a user’s exact whereabouts.
Website Data
Our site is built on WordPress and tracks standard metadata such as pages visited, time spent on each page, and form submission details (name, email, phone number). All form submissions are stored in our Gravity Forms entries. No additional personally identifiable information is captured beyond what you explicitly provide us with.
We use Google Analytics 4 to collect aggregated, anonymized data about visitor interactions (page views, session duration, bounce rate, device type, browser). GA4 processes IP addresses to infer general location but does not store them long-term or associate them with individual users. We do not share any personal data from our forms with Google.
Database Locations & Website Security
Our WordPress site and its database are hosted on servers physically located in Australia. All Forms submissions and WordPress data reside on these Australian servers. We do not transmit or store customer data on overseas servers.
To protect all data collected via the website, we enforce SSL/TLS encryption (HTTPS) across every page, maintain strong password policies (including two-factor authentication for administrator accounts), and keep WordPress core, themes, and plugins up to date. We also employ a web application firewall and regular malware scans, along with daily off-site backups, to safeguard against unauthorised access or data loss.
Disclosure of Personal Information
Your Personal Information may be disclosed in a number of circumstances including the following:
- To third parties where you consent to the use or disclosure; and
- Where required or authorised by law.
- In case of an emergency, medical or otherwise.
In the course of everyday business, we are unlikely to disclose personal or business information to overseas recipients.
Security of Personal Information
Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.
When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. We process any destruction of personal information ourselves utilising a crosscut shredder with a security level of P4 which is designed for the disposal of highly sensitive documents. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.
Access to your Personal Information
You may access the Personal Information we hold about you and update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.
Redwest Nominees Pty Ltd will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.
In order to protect your Personal Information we may require identification from you before releasing the requested information.
Maintaining the Quality of your Personal Information
It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.

The content of our website, including its text, images, applications, audio, graphics, photographs, and video is subject to copyright and such content, in addition to any trade marks, may not be sold, repurposed, distributed or reproduced without our explicit written consent. All rights are reserved in relation to our copyright, trade marks, and other intellectual property rights.
